Welcome

Thank you for your interest in Heelheid Ventures Studio LLC. We are looking for a thoughtful, organized professional who wants to help a growing company run well. If you enjoy bringing clarity to complex work and following through on what you commit to, we would be glad to hear from you.

About Heelheid Ventures Studio LLC

Heelheid Ventures Studio builds companies that endure. We partner with founders to strengthen their businesses and build our own portfolio of ventures with the same standard. We think in years rather than quick wins, and we are a remote team registered in the United States.

About the Role

The Business Operations and Development Assistant works directly with the Chief Executive Officer of Heelheid Ventures Studio LLC. You will help run the Studio's day-to-day operations, support leadership with clear and well-organized information, and help the business grow profitably. This role sits within the Heelheid management team and supports the Studio's ventures as well.

Why This Role Exists

As the Studio grows, the CEO needs a dependable operating partner who keeps priorities, information, and commitments in order. This role gives the Studio a clear structure for follow-through, reporting, and decision records, so that leadership can focus on the work that matters most.

What You Will Do

  • Executive operating support. Manage the CEO's priorities, prepare briefings and decision materials, and track commitments from leadership meetings through to completion.
  • Operating systems. Maintain the Studio's documented processes, playbook library, and shared tools, and keep a clear record of decisions.
  • Portfolio reporting. Prepare monthly scorecards for each venture and a consolidated monthly management report.
  • Finance coordination. Work with our bookkeeper to keep monthly reporting current, track invoices and payments, and flag variances early.
  • Business development. Manage the pipeline for founder applications, schedule conversations, and help develop partnerships with incubators, accelerators, and other organizations.
  • Hiring coordination. Manage the application workflow across Heelheid and its ventures, and make sure every applicant receives a timely response.

Who We Are Looking For

You bring four to seven years of experience in operations, executive support, chief of staff work, or business operations, ideally with a small or growing company. You are comfortable with basic financial reporting, you write clearly and directly, and you stay organized when priorities change. You understand that strong operations make a business more capable, not more dependent on any one person. Experience in a venture studio, startup, or professional services firm is an advantage.

How We Work Together

This role follows the Eastern Time (ET) business day in the United States and Canada. Hours are flexible within that working day and are not a fixed nine-to-five schedule. You will attend a fixed weekly leadership meeting and a short daily check-in. Detailed scheduling is shared with qualified candidates after assessment. Because this role handles sensitive and confidential information, it is an exclusive engagement. You will be asked to avoid any other work that conflicts with, or could expose, Heelheid or its ventures.

Compensation

This is a fixed monthly retainer. Your retainer is paid for delivering the results of this role, which are reviewed monthly against the areas of responsibility listed above. Heelheid shares the full review criteria and review schedule with qualifying candidates before any agreement is signed. The engagement begins with a 90-day initial period, with written deliverables at 30, 60, and 90 days. Payment details are discussed with candidates who progress past assessment.

How to Apply

Start by reading the complete role details on this page, then select Apply for This Role. The application asks for your name and contact details, your country, your expected monthly retainer and the currency you are paid in, a few short fit questions, your resume, and a brief introduction about yourself. We review every application personally and respond within 7 days. If this role sounds like a fit, we would welcome your application.
